Booking & Cancellation Policy

At The Skin Edit, appointment time is reserved exclusively for you. As a small clinic, late cancellations and missed appointments have a significant impact on our team, schedule, and ability to offer appointments to other clients.

To ensure fairness and protect clinic time, the following booking policy applies to all appointments.

Securing Your Appointment

All appointments require a 30% non-refundable booking fee to secure the appointment time.

This applies to:

• Online bookings
• In-clinic bookings
• Telephone bookings
• Bookings made via social media, email, or message

In-Clinic Bookings

Your booking fee will be taken at the time of booking.

Telephone or Remote Bookings

A secure payment link will be sent via Phorest. Appointments are not confirmed until payment has been received.

Payment must be made within 24 hours of receiving the payment link. If payment is not received, the appointment slot may be released.

Booking fees are deducted from the final treatment balance.

Consultation & Patch Test Fees

Consultation and patch test fees are non-refundable and non-redeemable.

These appointments involve dedicated clinic time, professional assessment, treatment planning, and administration costs.

Cancellation & Rescheduling Policy

We understand that plans can occasionally change. However, last-minute cancellations leave gaps in the diary that are often impossible to refill.

More than 48 hours’ notice

Appointments may be cancelled or rescheduled without additional charge.

Any booking fees paid will remain credited to your client account for future use.

Less than 48 hours’ notice

Late cancellations or rescheduled appointments within 48 hours of the appointment time will incur a charge equal to 50% of the remaining appointment balance.

Less than 24 hours’ notice or failure to attend

Appointments cancelled within 24 hours, or failure to attend without notice, will incur a charge of 100% of the full appointment cost.

This includes appointments booked using prepaid packages, courses, memberships, or treatment plans.

Prepaid Courses & Treatment Packages

For prepaid treatment courses or packages:

• Missed appointments or late cancellations will not automatically result in a treatment session being deducted.
• Instead, a forfeiture/rebooking fee will be charged before further appointments can be booked.

Current forfeiture fees:

• Appointments under 30 minutes: £50
• Appointments 30–60 minutes: £75
• Appointments over 60 minutes: £100

The clinic reserves the right to amend these fees where appropriate based on treatment length and clinic time reserved.

Stored Card Authorisation

By booking an appointment, you authorise The Skin Edit Co. to securely store your payment details through our encrypted Phorest booking system and process cancellation or no-show charges in accordance with this policy.

Appointment Reminders

Appointment reminders are sent as a courtesy via SMS and/or email.

Failure to receive a reminder does not remove responsibility for attending or cancelling within the required notice period.

Running Late

Please contact the clinic if you are running late.

Clients arriving more than 10 minutes late may need to have treatment shortened or rescheduled. Charges may still apply.

Illness & Infection Control

If you are unwell, experiencing symptoms of illness, or have a contagious condition, please contact the clinic as soon as possible to rearrange your appointment.

Children in Clinic

For safety, insurance, and to maintain a calm clinical environment, children under 16 are not permitted in the clinic unless receiving treatment themselves.

Repeated Late Cancellations or No-Shows

Clients who repeatedly cancel at short notice or fail to attend appointments may:

• Be required to pay in full at the time of booking
• Lose online booking privileges
• Be refused future appointments at the clinic

Clinic Cancellations

In the unlikely event that the clinic needs to rearrange your appointment due to illness, emergency, equipment failure, or circumstances beyond our control, we will contact you as soon as possible to reschedule.

No cancellation charges will apply in these circumstances.
